Used Machinery Import Documents to Confirm Before Booking Freight

A suitable used machine can still arrive with unresolved paperwork. Confirm its identity, destination import requirements and steps before site use with your local importer or customs agent before booking freight or making a non-refundable commitment.

Get written local confirmation first

Send the agent the destination country and port, intended use, manufacturer, exact model, manufacturing year, serial number, condition, photographs and proposed shipment configuration. Identify whether the buyer will use the machine, rent it out or resell it.

Ask the agent to confirm:

  • Whether this particular used machine can be imported by this importer.
  • The correct tariff classification and any applicable restrictions or age conditions.
  • Which permits, conformity documents or pre-shipment inspections apply.
  • Who obtains each document, when it must be issued and whether originals or translations are needed.
  • Requirements after arrival, including road registration, installation approval or equipment inspection where applicable.

Do not substitute a supplier's suggested classification for local confirmation. Keep a written list of the official references, unresolved questions and the person responsible for each answer.

Match the documents to the actual machine

Create one equipment identity sheet and compare it against the quotation, sales contract, draft commercial invoice, packing list, inspection records and photographs. Model numbers and serial numbers should agree. Distinguish a truck crane's chassis and engine identifiers from its lifting-equipment identifier.

Request a readable photograph of the original identification plate and current whole-machine photographs. Ask for an explanation of any conflicting model descriptions, missing plates or replacement components before progressing.

For dismantled tower cranes and hoists, check the included mast sections, jib sections, cages, drive units, counterweights, ties, cables and installation accessories against an itemised packing list. Specify which items are supplied, excluded or still to be sourced. Record package marks, quantities, dimensions and weights so the agent and freight forwarder can check the shipment consistently.

Prepare the origin, ownership, maintenance, manuals and test documents that the local review identifies as necessary. Confirm draft shipping instructions and consignee details before loading; check the issued transport document against the final shipment afterwards.

Use official pages to check scope

These examples show why destination checks must be specific:

Saudi Arabia: SASO's lifting-equipment model conformity service explicitly excludes used lifting equipment. That exclusion does not establish an exemption from every import or conformity requirement. Ask the local importer to confirm the applicable route for the actual used unit. SASO service scope

Indonesia: The Ministry of Trade's FAQ describes used-capital-goods arrangements under Regulation 24/2025, including import approvals and surveyor reports, with conditions varying by importer category and specified goods. Have the agent check the exact tariff description, importer eligibility, applicable age condition and current amendments. Ministry of Trade FAQ

Philippines: DOLE publishes a crane-and-hoist installation application within its technical safety inspection resources. Plan the applicable installation and inspection steps separately from customs clearance, and confirm which office and procedure cover the intended equipment and site. DOLE technical safety inspection

Peru: SUNAT's import procedure lists transport and commercial documents, with origin, insurance and restricted-goods authorisations where applicable. Ask a Peruvian customs agent to confirm the exact used unit's classification, eligibility and documents before booking. This general procedure does not establish that every used machine can be imported. SUNAT import procedure

Save the relevant official page, revision and review date. A process confirmed for one machine or jurisdiction should be checked again for a different shipment.

Plan arrival through readiness for use

Set separate milestones for document approval, shipment, customs release, unloading and inland transport, assembly or installation, and operational handover. Assign an owner and expected completion date to each.

Before promising a project start date, confirm the availability of installers, inspectors, operators, foundations or supporting structures, power supply and missing accessories. Schedule any required tests and acceptance after installation. A delivered machine may still need work before it is ready for service.

Frequently asked questions

Is a previous inspection certificate enough?

It is useful supporting evidence. Ask the local authority or accepted inspector whether it covers the actual unit, configuration, location and proposed use.

Can the paperwork be completed after shipping?

Some documents may depend on final loading details. Others may be needed earlier. Confirm that sequence locally before committing to freight.

Does customs release mean the crane can start working?

Keep customs release and operational acceptance as separate checkpoints. Confirm any installation, registration, inspection and operator requirements with the relevant local parties.
